HIGHLEAD SYSTEM · REPUTATION MANAGEMENT
Reputation management that asks every customer for a review, every time
Reviews do not arrive because the work was good. They arrive because somebody asked. The way to get more Google reviews is to ask every customer once the work is finished, in the same words, without it depending on anyone remembering.
Reputation Management is the Reviews & Reputation capability inside HighLead System, configured with you during your White-Glove Setup. The request goes out on its own, new reviews land where your team can see them, and replying becomes a task somebody owns. No incentives, no screening, no promised rating: review platforms set rules for asking, and we build to them.

Where your reviews are actually being read
A search result for the work you do shows your star rating and review count beside your competitors'. That comparison happens before anybody calls you, and you are not in the room for it.
The reviews doing that work were written by people who were asked. The customer who was delighted on Tuesday and never wrote anything was not asked. Asking by hand holds up on a quiet week and stops on a busy one. That is an asking problem rather than a reputation problem, and asking the same way every time is work a system does better than a person.
How Reputation Management works
The request fires when the work is done
Job marked complete, invoice paid, appointment closed. You choose the trigger, and the CRM record sets it off.
Everyone the trigger covers gets asked
Same message, same timing, same link, whoever the customer is and however the job went.
The ask is 1 message with 1 link
Short, in your name, pointing straight at the review form on the platform you chose, with nothing to search for.
A single reminder, then it stops
If nothing happens, 1 reminder follows after a delay you set, and the contact is then left alone.
New reviews land in 1 place
Reviews from the platforms connected during implementation are pulled in, and the right person is notified.
Responding is a task with an owner
Every new review creates a task assigned to somebody, so replying is part of the workflow rather than something nobody got to.
What the review request says
The message is written with you rather than shipped as a default. The pattern that holds up is short: thank them, ask plainly, make the link the easiest thing on the screen.
Examples, written as illustrative templates rather than the messages your business would send:
By text, after a completed job: Thanks for having us out today. If we did right by you, a short review helps the next person find us. The link below takes a minute.
By email, after an appointment: It was good to see you this week. If you have a moment, would you leave us a review? Write whatever is true. It helps the next person deciding.
Wording, timing, channel and the platform the link points at are set during implementation. Nothing sends until you approve it.
What happens when the review is bad
Asking everybody means some of what comes back will not be flattering, and that is the right trade. A negative review goes to a person immediately rather than into a queue, so you know the same day and somebody owns the reply. It is not hidden or answered by a template.
A calm, specific public answer is read by everyone who arrives afterwards, and it says more about the business than the complaint does.
Responding to reviews without it becoming a job
Every review deserves a reply, and replying to all of them is where most businesses fall behind. HighLead configures AI-assisted responses so a reply is drafted for each review in your voice. You can approve them before they post, or let the routine ones publish automatically and keep approval for the reviews that need a human.
What we will not do
No incentives
No discount, gift, credit or prize draw in exchange for a review. Platforms prohibit it, and it risks the reviews you already have.
No gating and no filtering
We do not survey customers first and pass only the happy ones to the review link. That practice is review gating, and platforms prohibit it. Everyone the trigger covers gets the same request.
No reviews written for you
HighLead does not write, buy, supply or post reviews in your customers' names.
No promised rating and no promised count
Nobody can promise a star rating or a number of reviews, and we will not pretend otherwise. What gets built is a request that goes out every time.
Requests go to your own customers
The people asked did business with you and are already in your CRM. This is not marketing to a purchased list, and HighLead does not supply one.
Opt-out, quiet hours and registration
A stop request ends messaging for that contact across text and email, and you set the window requests may send in. Carrier registration of your brand and campaign is handled during implementation, and messaging is billed as usage.
Review platforms set their own policies on how a business may ask, and they change them. We build to the current rules and adjust when they move. Some professions restrict what a client or a patient may be asked to say in public. HighLead is not a law firm, so in a regulated field your own counsel is the right check.
Where it fits with the rest of the system
Reputation Management is 1 capability inside HighLead System, not a review widget bolted onto a website, and it works because of what sits around it.
CRM Setup
Nothing can ask at the right moment unless something records that the work is finished. That is the precondition here.
How CRM Setup worksLead Follow-Up
Follow-up ends when somebody becomes a customer. The review request starts after that, on the same record.
How Lead Follow-Up worksLead Reactivation
A past customer brought back is also somebody worth asking. Reactivation is the separate job of getting them back.
How Lead Reactivation worksBooking & Pipelines
The pipeline stage tells the system a job is finished, and reporting shows what the requests produced.
Who it fits
Home services and trades
The homeowner comparing 3 contractors reads reviews on a phone before any of them get a call.
How we work with home services businessesClinics, practices and personal services
Chosen on trust. A review from somebody in the same town is much of what a new patient has to go on.
Industrial and considered purchases
Reviews count for less in a formal purchase than a consumer one, and buyers still read them before a shortlist.

Reputation Management is a capability of HighLead System, not a separate product and not an add-on subscription. It is configured during your White-Glove Setup: 3 Zoom implementation calls and an approximately 100-point setup process, completed in as little as about 1 week depending on scope and access.
Professional — White-Glove Setup

Text and email usage is billed separately, at the rates on the Usage & Fees page.
Reputation Management is a good fit if…
- Your customers are pleased with the work and almost none leave a review.
- Asking happens when somebody remembers, which is not after every job.
- Your rating and review count sit beside competitors in the search result.
- Reviews arrive and nobody notices for a week.
- Nobody owns replying, so replies do not happen.
- You want the asking to run the same way every time.
A better starting point may be…
- The business needs more qualified visibility and customer opportunities before reviews become the primary growth constraint. HighLead Growth
- Customer records are too scattered to consistently know who should receive review requests. CRM Setup
- The larger leak happens before the customer experience ever reaches the review stage because new inquiries are not being followed up with consistently. Lead Follow-Up Automation
- More than one constraint spans marketing, systems, AI, automation or operations. HighLead Supercharge
Reviews help people choose you, not find you
HighLead Growth is the acquisition side: Google Ads, Meta, SEO and cold email outreach that put your business in front of people looking. Reputation Management shapes what they find.
